General information for the used number range in SalesKing

in SalesKing number ranges are used in

  • estimates
  • orders
  • credit notes
  • clients
  • products
  • invoices

It might be necessary to customize the number ranges to your individual needs.

With the following settings you are able to configure the number ranges as you want them to appear in your documcent-, client- and product-numbering.

Schema

The appearence of a number is described by the "schema". Some exampels:

  • [Y4]/[CY3] => 2008/007
  • R-[Y2]-[M2]-[S6] => R-08-03-000123

The key are the placeholders, which are easy to detect by looking at the brackets. The following placeholders are uasable:

  • [Y]: actual year (f.e.: "2008")
  • [M]: actual month (f.e. "03")
  • [D]: actual day (f.e. "28")
  • [C]: ongoing number (no restriction, will never be reseted)
  • [CY]: year count (will every year start at 1)
  • [CM]: month count (will every month start at 1)
  • [CD]: day count (will every day start at 1)

For each of theese placeholders you can define how many positions it should have (for that give your value as last entry before clothing bracket. Exampel: [C5] => 00073 [Y2] => 10 [Y4] => 2010

Example: If you setted the schema to "[Y4]-[M2]-[CM3]", the following numbers will be generated if you create your very first document with SalesKing on the 28.03.2008:

  • at 28.03.2008 => 2008-03-001
  • at 29.03.2008 => 2008-03-002
  • at 30.03.2008 => 2008-03-003
  • at 01.04.2008 => 2008-04-001 (the month [M] is adjusted, the month counter [CM] was reseted)
  • at 06.04.2008 => 2008-04-002
  • at 10.04.2008 => 2008-04-003
    ....
  • at 31.12.2008 => 2008-12-094
  • at 02.01.2009 => 2009-01-001 (the year [Y] and the month [M] were adjusted, the month count [CM] was reseted)
    ....

Status

SalesKing does save which number was the latest that had been generated as "status". On every new document SalesKing is checking the status to generate the right next number.

You can use this status to set the start-value of the ongoing number. That might help you, if you already used numbers in your old system and to avoid using the same numbers with your new SalesKing now.

Right under the schema-settings you can see the next number SalesKing will create if now used to create a document.

Under this you will find the counter settings:

  • counter [C]
  • counter year [CY]
  • counter month [CM]
  • counter day [CD]

with these counter settings you can configure with which value the counter you will use should start.

  • f.e. You will yearly start with new numbers and you want to start this year with 55. Set the counter [CY] to 54.
  • f.e. You will count ongoing and you want to start this year with the value 667. Set the counter [C] to 666.

By default all values are setted to 0. If the tied period ends, the values are resetted to 0.
